We are looking for an experienced Account & Client Coordinator to support client account administration, benefits processing, compliance activities, and ongoing client service operations within a fast-paced healthcare and benefits environment. This role is responsible for coordinating Health Reimbursement Arrangement, Health Savings Account, Flexible Spending Account, and Consolidated Omnibus Budget Reconciliation Act administration activities, including claims processing, payroll contribution management, participant account setup, eligibility notifications, and group maintenance. The position also plays a critical role in maintaining process documentation, supporting audits and quality initiatives, managing client concerns, ensuring regulatory compliance, and collaborating with internal teams to deliver exceptional client experiences. The successful candidate will contribute to operational excellence through accurate processing, proactive issue resolution, process improvement recommendations, and high-quality client support.  


What is your mission?

  • Manage ongoing relationships with clients by providing account coordination, client support, and issue resolution.
  • Identify and report process improvement opportunities related to operational procedures and service delivery.
  • Develop, update, and maintain Third-Party Administration Services process documentation.
  • Ensure participant bank accounts are accurately established, and benefit cards are distributed.
  • Process Health Savings Account payroll contributions accurately and within established timelines.
  • Review and process Flexible Spending Account and Health Reimbursement Arrangement claims.
  • Administer Consolidated Omnibus Budget Reconciliation Act elections, terminations, group setup, and renewal rate updates.
  • Notify carriers regarding Consolidated Omnibus Budget Reconciliation Act elections and terminations, verify completion, and document activities within internal systems.
  • Ensure eligible healthcare participants receive required Consolidated Omnibus Budget Reconciliation Act rights notifications, enrolment information, coverage details, and payment terms following qualifying events.
  • Resolve client concerns, complaints, and service challenges while enhancing the overall customer experience.
  • Maintain high standards of audit readiness, quality assurance, and process accuracy.
  • Participate in team, operational, and client-related meetings as required.
  • Stay current with United States healthcare regulations, employee benefits administration standards, and Third-Party Administration Services requirements.
  • Support a positive and collaborative work environment through professionalism and teamwork.
  • Perform additional administrative, operational, and project-based assignments as required.

Who are we looking for?

  • Bachelor's Degree in any field; equivalent combination of education and experience will be considered.
  • At least 2 years of experience supporting United States Health Insurance, Customer Service, Consolidated Omnibus Budget Reconciliation Act, Health Reimbursement Arrangement, Health Savings Account, Flexible Spending Account, Employee Retirement Income Security Act, or related benefits administration functions.
  • Minimum 3 years of Business Process Outsourcing or Call Center industry experience.
  • Experience in benefits administration, claims processing, client account coordination, healthcare operations, or Third-Party Administration Services.
  • Proficiency in Microsoft Word, Microsoft Excel, Microsoft Teams, and Microsoft Outlook.
  • Strong knowledge of United States healthcare benefits administration and regulatory compliance processes.
  • Excellent English written and verbal communication skills, including professional correspondence, grammar, business writing, and client communication.
  • Strong planning, organization, and multitasking abilities with the capability to manage multiple priorities and deadlines.
  • Strong attention to detail with a focus on quality, accuracy, process improvement, and problem-solving.
  • Ability to maintain strict confidentiality of sensitive and confidential information.
  • Strong interpersonal skills with the ability to collaborate effectively across multiple organizational levels.
  • Ability to work independently while contributing positively within a team-oriented environment.
