HR Coordinator and Payroll Specialist

We are looking for an HR Coordinator and Payroll Specialist who supports recruitment operations, payroll processing, and employee lifecycle management. This role focuses on full‑cycle recruitment coordination, multi‑state payroll administration, timekeeping, HRIS management, onboarding, and compliance. You will ensure accurate employee records, timely payroll execution, and seamless HR operations in a structured environment.


What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

  • Support full‑cycle recruitment processes, including job postings, candidate screening, interview scheduling, and hiring coordination
  • Manage candidate communications, applicant tracking systems, and recruitment records
  • Prepare offer letters, onboarding documentation, and pre‑employment requirements, including background checks and verifications
  • Maintain candidate pipelines, hiring reports, and recruitment analytics
  • Support recruitment events and employer branding initiatives
  • Process and manage multi‑state payroll operations, ensuring accuracy and compliance with payroll schedules and policies
  • Review and reconcile employee timecards, overtime, deductions, and payroll-related transactions
  • Process benefits-related payroll inputs, including HSA and retirement contributions
  • Maintain HRIS, payroll, and timekeeping systems, ensuring accurate and secure employee data
  • Respond to employee inquiries related to payroll, timekeeping, and HR processes
  • Coordinate employee lifecycle updates, including new hires, terminations, pay adjustments, and benefits changes
  • Support payroll audits, year‑end processing, and compliance reporting
  • Ensure compliance with labor laws, wage regulations, and internal policies
  • Maintain employee records, documentation, and HR administrative reports
  • Collaborate with HR, Finance, Operations, and external payroll providers for issue resolution and reporting
  • Identify opportunities to improve recruitment workflows, payroll accuracy, and HR processes
  • Promote professionalism, confidentiality, and positive employee experience standards


Who are we looking for?

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field, or equivalent professional experience
  • 3+ years of professional experience in Human Resources, recruitment coordination, payroll administration, or HR operations roles
  • Hands‑on experience supporting recruitment coordination, including job postings, candidate communication, interview scheduling, and onboarding
  • Hands‑on experience processing payroll and managing timekeeping systems
  • Experience using HRIS platforms, payroll systems, and applicant tracking systems
  • Working knowledge of United States employment practices and labor regulations
  • Experience supporting hourly or non‑exempt workforce environments, preferably in manufacturing or similar industries
  • Exposure to regulated industries, including manufacturing, healthcare, food production, or related environments, considered an advantage
  • Experience supporting multi‑state payroll environments, considered an advantage
  • Professional HR or payroll certifications, including PHR, SHRM‑CP, CPP, or FPC, considered an advantage
  • Strong proficiency in Microsoft Office, especially Excel for reporting and data tracking
  • Strong attention to detail and accuracy in handling employee and payroll data
  • Excellent written and verbal English communication skills
  • Strong organizational and time management skills with ability to manage competing priorities
  • Strong problem‑solving skills and ability to handle escalations professionally
  • Ability to work independently while collaborating across cross‑functional teams
  • High level of professionalism, confidentiality, and accountability
