We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide critical support to one of the top real estate professionals. This onsite role is perfect for someone who thrives in a structured environment, excels at organizing tasks and information, and enjoys helping others stay focused and productive. You will play a key role in keeping our Market Leader organized and on track across both professional and light personal responsibilities—managing calendars, maintaining CRM updates, coordinating meetings, and following up on tasks to ensure smooth daily operations and maximize executive efficiency.

What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

  • Manage the executive’s calendar, including scheduling meetings and coordinating appointments.

  • Maintain well-organized digital records, trackers, and filing systems.

  • Regularly update and maintain accurate contact data and notes in our CRM (HubSpot).

  • Monitor and follow up on action items, task deadlines, and open loops.

  • Assist with meeting preparation, note-taking, summaries, and briefings.

  • Conduct light research and verify contact information as needed.

  • Support both internal team coordination and external communications.

  • Provide light personal admin support (e.g., reminders, appointments, scheduling).

  • Help implement and maintain structured workflows and systems.

  • Conduct daily check-ins with the executive to align on priorities and updates.


Who are we looking for?

  • At least 2 years of proven experience in administrative or executive assistant roles.

  • Proven organizational skills and keen attention to detail.

  • Self-starter with a project management mindset.

  • Comfortable with accountability, structure, and clear follow-ups.

  • Energized by supporting high-output, fast-paced environments.

  • Strong written and verbal communication skills.

  • Strong proficiency in HubSpot CRM (or similar tools).

  • Highly organized with the ability to manage multiple priorities effectively.
