Retirement Plan Administrator (compliance testing)

​We are looking for an experienced Retirement Plan Administrator to handle full-cycle 401(k) and Cash Balance plan administration, compliance testing, trust reconciliation, and government reporting. In this role, you’ll manage complex plan calculations, ensure accurate IRS/DOL compliance, prepare required filings, and collaborate with advisors and plan sponsors. What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

Core Plan Administration & Compliance

  • Perform full-cycle administration for 401(k) and Cash Balance plans in accordance with IRS and DOL regulations.
  • Conduct compliance testing including ADP/ACP, 402(g), 404(a), 410(b), 414(s), 415 annual additions, and 416 Top-Heavy.
  • Run eligibility and participation calculations, including HCE and Key Employee identification.
  • Process ADP/ACP corrections, excess contributions, and lost earnings.
  • Prepare plan notices, amendments, restatements, and participant-level compliance documentation.

Accounting & Trust Reconciliation

  • Perform annual trust accounting and reconciliation for all assigned plans.
  • Review, validate, and reconcile cash flows, transactions, contributions, distributions, and investment activity.
  • Review and record SDBA transactions.
  • Prepare year-end valuations, contribution allocations, and required schedules.

Government Reporting

  • Prepare and review Form 5500 and all supporting schedules.
  • Prepare Form 5330 when required.
  • Meet all compliance and reporting deadlines accurately and on time.

Quality, Process, & Documentation

  • Follow internal procedures, checklists, and quality control standards.
  • Ensure documentation, testing output, and work papers meet audit requirements.
  • Maintain consistent, high-accuracy work across all assigned plans.

Collaboration & Client Interaction

  • Communicate professionally with advisors, CPAs, payroll providers, investment partners, and plan sponsors.
  • Provide technical guidance and assist teammates on complex scenarios.


Who are we looking for?

  • Bachelor’s degree or equivalent professional experience
  • 5+ years of hands-on U.S. retirement plan administration experience (401(k) and/or Cash Balance)
  • Strong understanding of IRS & DOL regulations and 401(k)/Cash Balance plan rules
  • Expertise in compliance testing: ADP/ACP, 402(g), 404(a), 410(b), 414(s), 415, 416 Top-Heavy
  • Experience with trust reconciliation, eligibility runs, HCE/Key employee identification
  • Skilled in ADP/ACP corrections, excess contributions, and lost earnings
  • Experience preparing Form 5500 and schedules; working knowledge of Form 5330
  • Comparability calculation experience (highly preferred)
  • Advanced Excel skills (vLOOKUP/XLOOKUP, pivot tables, SUMIFS, logical formulas)
  • High proficiency with compliance/administration software (ftwilliam strongly preferred; Relius, PensionPro or similar)
  • ASPPA or NIPA certifications (QKA, QPA, CPC, APA, APR) are a plus
  • Exposure to complex plan designs, cross-tested profit-sharing plans, and Cash Balance valuations
  • Strong financial acumen and ability to apply accounting principles
  • Extremely detail-oriented and precise with consistent adherence to processes
  • Strong analytical, organizational, and documentation skills
  • Ability to solve problems independently and communicate professionally in writing and verbally
  • Commitment to pursue industry credentials or advanced specialty training
